A WaveMail is sent to the user displaying the information. In case the information is sensitive, a closed e-mail stating that private information was sent is sent to the user external e-mail.

Release Notes: New functionality has been added around the employees published shifts, every time an employee posts a shift a WaveMail is broadcasted to specific users in the department that meet the shift criteria; this WaveMail contains detailed information on the posted shift stating that the employee can pick it up if he wanted to. These tasks can be created X days before/after/on employment start or end and can be sent to the employee, their manager, or a list of employees. In the list you can also specify users to be notified when all tasks in the list are finished for a given employee. There is also a report to that will include information on who has outstanding tasks.

When this step is reach in the RFH you will have the option to upload the document as before or notify an applicant that they are required to upload files. After the user submits the documents the original user who sent the notification to the applicant will get a WaveMail stating that the document uploads are complete.

When creating an employment record for that position you will be required to select a level for the position form 1 - max level of the position. We have also updated the scheduling so that when adding a shift that requires levels you will be required to select a level for that shift. We have created a new type of Algorithm for levels that cascade from highest to lowest so that a level 3 employee can be scheduled for level 1-3 shifts but will fill try and fill all levels of position before pulling on levels above. We have also updated the shift post, pick-up and swap to take levels into account.

Attend and Passed action changes attendees' status to Attended and Passed and creates new training records automatically. Remove Attendance and Pass/Fail action changes status to Not Attended and Failed if Automatically Pass is false, and it removes the training records which were created by Attend and Passed action. No Call No Show action just highlights the selections if the selected attendees are in Not Attended status. Attendees in Attended status cannot set No Call No Show. Remove No Call No Show just removes the highlights on the selected attendees. On the attendance list Reports, the font size in them was increased from 10 to 12 and the signature column was added in one of the reports.

If the Lieu Time is on, you should set Weekly Overtime Rules with at least one item like 44, 1.5, which means that if someone works over 44 hours a week, then (s)he can get banked overtime according to the rule of Lieu Time. If someone works 48 hours a week, then (s)he will get 6 hours banked time on Sunday. The banked overtime could be paid or be used to work off. On Attendance tile, users can see their banked time and use the time on vacation. Each employees can be linked to the pay rate card through Union on Personal Details Tile or on Employments. if Bank Overtime Option on Pay Rate Cards is Employee Choose Whether To Bank Overtime, each employee can select whether their banked time is used to work off or to be paid out at each pay run time on Lieu Preference tab in WFM Attendance. On Timesheets Review, Total Bank Overtime Pay column is added to show banked overtime pays for employees.

Feature - COT -Schedule Letters

Release Notes: A new feature in the communication manager is that you can now schedule letters to be sent to employees of a position of a certain employment status on a specific date. In communication, the letter template page now has three tabs. The first is the original letter list page where you can see letters that have been created, and opt to edit them or create new ones. The second tab is where you can schedule a letter, you just click the create schedule letter button and a new row will appear on the page. In that row you will be asked to choose a department, then a position in that department. After that you select the letter to you wish to be sent to those employees, and the date you wish it to be sent on. Lastly you select the employment status you wish the letters to be sent to and the employee to receive the letter for employees who do not have an email address and that need to be printed out and mailed to the employees. To select the employee to receive the letters that need printing, click the select button under the send print to header and a small window will pop up with a search field. Type in the employees name and click search and then select the correct employee from the results. After you have selected the employee click the close button and the employee should be displayed in the row. Now all you have to do is click the save button and the letter will be scheduled. If you have selected the wrong employee, you can remove the selected employee by clicking the red X beside their name. Should you want to delete a letter you need to click the red X button at the end of the row and click save. The last tab is any letter that has been sent and just there so the users can see what has been sent.

The rotation is applied my selecting the Auto Fill Shift option for the schedule builder, this will create the shifts and slots and fill them with the employees for that weeks rotation.

When creating a onetime payment for an hourly employee, there is a drop down used to choose if it counts towards accrual. The payment will be taken into account when the next pay period or schedule that employee is on is sent to payroll.

Release Notes: When editing the vacation tab an employees personal details, you can now choose whether the employee is salaried or hourly. This means they accrue a percentage of the combined number of hours tracked by the scheduling time tracker and the employee time tracker. This accrual percentage is set on the vacation tab on the personal details page of the employee and is store in that employee’s accrual rule. Employees with hourly accrual type will not have their vacation earned changed when the accrual timer job is run, instead their vacation is calculated when a pay period or schedule is submitted to pay roll that includes approved time records the employee worked. The calculation uses the base pay, overtime pay, premium pay, and holiday pay the employee earns based on the rules in the pay rate card for their position. It also includes any one time payments that have been flagged to be included in the employees vacation accrual. The attendance page will has also been changed, when an hourly employee looks at the page it will display the correct rule type on the table, as well the accrual rate will not display an amount instead just a percent symbol since the employee does not have an amount they accrue regularly.
